1. Introduction

The Enquiry Project (“we,” “us,” or “our”) is committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use it, with whom we share it, and the choices available to you. By using the Service, you consent to the collection and use of your information as described in this Policy.

This Policy applies to all users of The Enquiry Project and should be read in conjunction with our Terms of Service and End User License Agreement.

2. Information We Collect

We collect the following categories of information:

Information You Provide

  • Account Information: Your name and email address, provided when you register for the Service via an invitation.
  • Authentication Credentials: Your password, which is stored exclusively as a one-way cryptographic hash. Your actual password is never stored or accessible to us.
  • Conversation Content: All messages, queries, and content you submit to the Service during your use of the conversational features.

Information Collected Automatically

  • Session Data: Encrypted session tokens stored in cookies, used to authenticate your identity across requests.
  • Usage Data: Information about how you interact with the Service, including conversation history and mode preferences.
  • Technical Information: Browser type, operating system, and IP address, collected as a standard part of web server operation.

Derived Information

  • Memory and Notes: The Service uses artificial intelligence to extract and retain contextual information about you derived from your conversations, in order to personalize and improve future interactions.

3. How We Use Your Information

We use the information we collect to:

  • create and maintain your account and authenticate your identity;
  • provide, operate, and improve the Service;
  • process and respond to your conversations using artificial intelligence;
  • retain context across sessions to provide continuity of the Service;
  • send you invitation emails and other service communications;
  • monitor for security threats, abuse, or violations of our Terms of Service;
  • comply with applicable legal obligations; and
  • record your acknowledgement of our Terms of Service and Privacy Policy.

We do not use your information for advertising, marketing profiling, or sale to third parties.

4. Information Shared with Third Parties

We do not sell your personal information. We share information only as described below:

OpenAI

Your conversation content is transmitted to OpenAI, LLC for artificial intelligence processing. OpenAI processes this data in accordance with its own Privacy Policy and Terms of Service. We encourage you to review OpenAI's privacy practices at openai.com/policies/privacy-policy. We do not control OpenAI's data practices and are not responsible for them.

Tavily

When the Service determines that a web search may improve a response to your query, your query may be transmitted to Tavily for search processing. Tavily processes such data in accordance with its own privacy practices. Not all queries trigger a web search.

Google (Gmail)

When an administrator sends you an invitation to the Service, your name and email address are transmitted through Google's Gmail infrastructure to deliver the invitation email. Google processes such data in accordance with its own privacy practices.

Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that such disclosure is necessary to protect the rights, property, or safety of The Enquiry Project, its users, or the public.

5. Data Retention

We retain your account information, conversation history, and derived memory data for as long as your account remains active. If your account is deactivated or deleted, we will retain your data for a reasonable period as required by applicable law and legitimate business purposes, after which it will be deleted or anonymized.

You may request deletion of your account and associated data at any time by contacting us at TheEnquiryProjectContact@gmail.com. We will honor such requests subject to any legal obligations to retain certain information.

6. Data Security

We implement reasonable and appropriate technical and organizational security measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These measures include password hashing using industry-standard bcrypt algorithms, encrypted session management, and secure transport (HTTPS).

However, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee absolute security of your information and are not responsible for unauthorized access that is beyond our reasonable control. You use the Service and transmit information at your own risk.

7. Cookies and Tracking

The Service uses a single encrypted session cookie (“ep-session”) to authenticate your identity and maintain your session. This cookie is essential to the operation of the Service and cannot be disabled while using the Service. We do not use advertising cookies, tracking pixels, or third-party analytics cookies.

8. Your Rights

Depending on your state of residence, you may have certain rights regarding your personal information. We honor these rights regardless of whether your state mandates them by law.

All Users

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may request correction of inaccurate information.
  • Deletion: You may request deletion of your personal information, subject to our legal retention obligations.

California Residents (CCPA / CPRA)

California residents have the following additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

  • the right to know what personal information we collect, use, disclose, and sell;
  • the right to delete personal information we have collected about you;
  • the right to correct inaccurate personal information;
  • the right to opt out of the sale or sharing of personal information (we do not sell or share your personal information);
  • the right to limit the use of sensitive personal information; and
  • the right to non-discrimination for exercising your CCPA/CPRA rights.

Other State Privacy Laws

Residents of Colorado, Connecticut, Virginia, Texas, and other states with comprehensive consumer privacy legislation may have rights similar to those described above. 9. Children's Privacy

The Service is not directed to, and we do not knowingly collect personal information from, individuals under the age of 13. Access to the Service requires an invitation, and invitations are issued only to adults. If we become aware that we have inadvertently collected personal information from a child under 13, we will take prompt steps to delete such information. 10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. Material changes will be communicated to you via email to your registered address or by prominent notice within the Service. The date of the most recent revision is indicated at the top of this Policy. Your continued use of the Service after notification of changes constitutes your acceptance of the updated Policy.
